What we collect when you contact us, why we hold it, and what you can ask us to do with it.

Who we are.

Proxymal Surgical is a registered trademark of Medicomed (Pty) Ltd, a South African medical device and surgical products distributor. For the purposes of the Protection of Personal Information Act, 2013 (POPIA), Medicomed (Pty) Ltd is the responsible party for the personal information described on this page.

What we collect.

Two things, and only two.

What you send us through a form

The enquiry forms on the home, contact and partner pages ask for your name, your organisation, an email address, a telephone number and your message, together with the type of enquiry. Depending on which route you pick, they may also ask for a specialty or product category, a regulatory status, a country of origin, or the product area you work in. Only the fields marked as required have to be completed — everything else is there because it usually gets you a faster answer, not because we need it.

The forms also carry two spam measures: a field hidden from people that should stay empty, and a timestamp used to spot an instant submission. Neither collects anything about you.

Standard web server records

Like any website, this one is served by a web server that keeps ordinary access logs: the IP address a request came from, the browser used, the pages requested and the time. We do not use these records to identify visitors; they exist so that the server can be operated and secured. These logs are retained by our hosting provider under its own standard practice.

We do not collect special personal information as POPIA defines it, we do not knowingly collect information about children, and we do not buy or accept contact lists from anyone else.

Why we collect it.

To answer your enquiry, and to carry on the conversation that follows from it — sending a quote, confirming availability, or discussing a distribution partnership. That is the whole purpose.

Our lawful basis under section 11 of POPIA is your consent, given when you choose to send us an enquiry, together with our legitimate interest in responding to it. We do not use enquiry details for marketing, we do not profile anyone, and no decision about you is made by automated means.

Who sees it.

Your enquiry is sent as an email to one of our own mailboxes — provider and manufacturer enquiries to sales@proxymalsurgical.co.za, general enquiries to info@proxymalsurgical.co.za — and is read by the people who handle that kind of enquiry.

There is no third-party form service anywhere in that path. The form posts to a handler on this domain, which sends the mail and nothing else. Your details are not sold, rented or shared for anyone else's purposes. The only parties who process them besides us are our hosting and email providers, who do so as operators on our instruction, and anyone we are obliged to disclose to by law. Our hosting and our mailboxes are both in South Africa, so your enquiry is not transferred out of the country.

How long we keep it.

We keep enquiry emails for 24 months after our last contact with you, which covers a procurement cycle and any repeat order that follows from it. After that they are deleted. You can ask us to delete your enquiry sooner, at any time.

How we protect it.

The site is served over an encrypted connection. Enquiries are handled first-party, so your details never pass through an external form processor. Access to the enquiry mailboxes is limited to the people who need it.

No system is perfectly secure. If a security compromise affects personal information we hold, we will notify the Information Regulator and the people affected, as POPIA requires.

Your rights under POPIA.

You may ask us to tell you what personal information we hold about you, to correct it if it is wrong, or to delete it. You may object to our processing it, and you may withdraw a consent you have given. Exercising any of these costs you nothing and we will not treat you differently for it.

To make a request, email info@proxymalsurgical.co.za or write to the address above. We may ask you to confirm your identity before we act, so that we do not disclose someone's information to the wrong person.

If you are not satisfied with how we have handled your information or your request, you may complain to the Information Regulator (South Africa), whose details are published at inforegulator.org.za.

Cookies and browser storage.

This website sets no cookies. There is no analytics, no advertising, no tag manager and no social media plugin on any page. The typefaces are served from this domain rather than from a font service, so loading a page does not tell anyone else that you did.

One thing is stored in your browser, and only once you have answered the banner: a single entry recording whether you accepted or declined third-party content. It is stored in your browser's local storage rather than in a cookie, it is never sent to our server, and it holds nothing but that choice.

Third-party content

There is one piece of it on the whole site: a map of our Hatfield office on the contact page, served by OpenStreetMap. Displaying that map asks your browser to fetch map tiles from openstreetmap.org, which means your IP address and browser details reach them, and their own privacy policy governs what they do with that.

Because that is a request to someone else, we do not make it unless you say so. Decline, and the map is simply not loaded — the contact page shows the same address in text, and there is a link to open it in a mapping service of your choosing. Nothing on this site is withheld from you for declining.

Changing your mind

Use the cookie preferences link at the bottom of any page. You can switch your answer as often as you like, and clearing your browser's site data resets it entirely.

Changes to this policy.

If what we do with personal information changes, this page changes with it and the date at the top is updated. Material changes will be described here rather than made quietly.
